This position proactively anticipates the needs of leadership while efficiently managing the day-to-day operations of the office, with a high level of autonomy.
The Administrative Assistant / Office Manager will be responsible for coordinating and executing administrative tasks, maintaining strict confidentiality, and upholding a consistent standard of professionalism.
The role has a dual reporting relationship to the President of the firm for Administrative Assistant activities and to the Vice President of Finance and Administration for Office Manager duties.
Job Duties & Responsibilities Administrative Assistance & Support Provide high-level administrative support to the firm's President.
Maintain the President's schedule, including calendar management, day-to-day and long-term planning of meetings, projects, and priorities.
Maintain the Principal's calendar; schedule appointments and coordinate meetings, as requested.
Set up regular meetings with the team to ensure that the President is getting regular project updates.
Foster and build strong relationships with the executive assistants of key client contacts to ensure effective communication and coordination between parties.
Coordinate travel itineraries including flights, hotels, and car rentals.
Proactively suggest and implement organizational improvements.
Support members of the leadership team with clerical and administrative tasks, as needed.
Review and edit correspondence, reports, and presentations for internal and external communications.
Document in appropriate portal CRM systems client account information and disseminates knowledge to team.
Office Management / Administration Open office promptly at 8:

and close office each evening.
Oversee and manage the day-to-day operations of the office, including facilities management, office equipment, supplies procurement, and vendor relationships.
Maintain office efficiency by implementing and improving administrative systems, procedures, and policies.
Greet and provide general support to any guests at the office.
Handle phone, email, and postal mail inquiries and respond appropriately.

3003 First line of contact with our IT support company, including follow-up on service tickets.
Monitor the general company information email accounts.
Proctor and monitor virtual client workshops.
Create and send out client surveys using the SurveyMonkey tool.
Responsible for coordination, set-up, and maintenance of all program materials, logistics and technology, as well as primary contact for coach and facilitator needs.
Responsible for providing administrative support and logistical planning for the organization's Level 2 ICF-Certified Coaching Education Program, Resero.
Coordinate meetings, luncheons, department activities, and events.
Assist in budget management by expense tracking and reconciling office expenses for monthly AMEX billing.
Qualifications Experience & Education 6 to 10 years relevant experience as administrative assistant Highly proficient in Microsoft Office (Outlook, Word, Excel and PowerPoint) Skilled in use of SharePoint, Teams and Zoom.
Bachelor's degree preferred, level of experience considered.
Specif ic Knowledge, Ski l ls & Abil it ies Required Proven experience as an administrative assistant or in a similar role.
Knowledge of office management systems and procedures.
Proven organizational and time management skills to complete a high volume of various responsibilities in a fast-paced setting with excellent attention to detail and the belief that no task is too big or too small.
Effective interpersonal skills combined with the ability to interact with professionals and senior executives in both formal and informal settings.
Demonstrated ability to work with senior managers and executives.
Flexible, adaptable with clients, colleagues, and organizational needs.
Ability to work both independently and as part of a team, proactively recommending and implementing organizational improvements.
Exemplary oral and written communication skills.
Adaptable to changing technologies and troubleshooting.
Resourceful, strategic problem-solver with a positive can-do attitude.
Experience in event planning and coordination is a plus.
Familiarity with basic HR processes and procedures is an advantage.
