Our Client is an expanding Global Software Vendor looking for a motivated Office Manager to assume full ownership of the successful running of a busy and dynamic office environment. The individual will be fully accountable for the organization and coordination of office operations, procedures and resources. The successful candidate will be self-motivated, seeks diversity and works well with a wide variety of personalities.

Key Responsibilities
Office Management
Overall responsibility for the day to day running of the Parsippany based office.

Reception


Answer phones and meet and greet visitors


Distribute mail, maintain postage meter


Arrange deliveries and shipments


Purchasing


Ordering all stationary, office and kitchen supplies


Business cards


Office furniture etc.


General office communications


Ensure common areas and meeting rooms are presentable at all times


Responsible for managing travel agency procedures and communications


Assist Marketing Department with special projects e.g. infrequent bulk mailing and shipments


Responds to general inquiries









Work closely with UK Office Manager


Coordinate logistics of company employee events


Other adhoc office management duties


Facilities Management

Ensure facility is in good working order


Maintain door access cards for existing and new employees


Main point of contact for management company


Safety Management

Establish and maintain fire evacuation plan


Main point of contact with fire department, fill role of Fire Marshall


The Person

3 years previous experience in Office Management, reception, facilities management and administration


Professional in appearance


Excellent written and verbal communication and facilitation skills


Motivated, energetic and hands-on orientated


Prepared for the demands of a fast growing company


Works with a sense of urgency and accountability


Positive attitude, proactive thinker, multi-tasker


Excellent prioritization skills


Professional approach to work, trustworthiness, proactive and punctual


Advanced use of MS office

Reports to:
Senior Vice Present Technology Services and Operations





















Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
